GENERAL

We offer vacation packages in Uganda, Rwanda, Congo, Tanzania, and safari holidays in Kenya. Please carefully review these Terms and Conditions as they outline our mutual responsibilities and form the basis of your contract with Kigezi Harambe Tours and Travels. In these terms, “you” refers to all individuals named on the booking (including anyone added or substituted later), while “we” and “us” refer to Kigezi Harambe Tours and Travels.

These terms are updated periodically due to changing circumstances. The terms in effect at the time of booking are the valid ones. Conditions in Africa may differ from those in developed countries, and service standards, medical facilities, safety, and security might be lower than those in your home country. It is important to note that the laws and regulations of the country where services are provided govern your holiday arrangements, not those of your home country.

ACCOMMODATIONS

We offer charming and unique hotels, lodges, and camps that feature good facilities, hot water, friendly staff, and reasonable prices. We kindly ask our clients to inform us in advance of any dietary requirements. We reserve the right to substitute equivalent or superior accommodations based on availability.

COMPLAINTS

If you have a complaint, please report it immediately to the Safari Manager and the supplier, who will do their best to assist you. If you’re not satisfied, you should submit a written report to the Manager or Supplier as soon as possible, but no later than 30 days after completing your holiday or safari. This allows us to fully investigate the issue. We cannot accept complaints not reported according to this procedure.

ACCURACY OF INFORMATION

The information, descriptions, and opinions provided by us regarding itineraries, national parks, gorilla permits, animal sightings, accommodation, and security are offered in good faith, based on the most up-to-date information available. We make every effort to ensure the accuracy of the information. However, we cannot accept responsibility for any errors or omissions caused by factors beyond our control.

FORCE MAJEURE

We regret that we cannot provide compensation when the proper performance of our duties is affected by any unforeseen events beyond our control. Such events may include war, terrorism, government actions, riots, civil unrest, natural disasters, border closures, industrial disputes, fire, road closures, theft, epidemics, quarantines, travel disruptions, extreme weather conditions, or any other similar events beyond our management capacity. Certain activities in the itinerary carry an inherent risk of personal injury, such as Gorilla trekking, White water rafting, Chimpanzee tracking, Walking tours, canoe/boat rides, and Mountaineering. Participation in these activities is at your own risk, and we do not assume responsibility for your safety.

GORILLA PERMITS

Once payment is received, we can purchase your gorilla trekking permits. However, obtaining a permit does not guarantee that you will see a gorilla, although the chances are 99%. Local conditions may sometimes make access to the gorillas impossible at short notice. We are not liable for any cancellations due to reasons such as national park closures, border issues, gorilla absence, or security changes. Refunds for these cancellations are at the discretion of the relevant authorities, but we will make every effort to obtain a refund and pass it on to you if applicable.

PAYMENT

By booking your safari, you confirm your acceptance of our terms and conditions and agree to pay a deposit of a percentage of the total cost, as determined by our tour consultant. This typically amounts to 40%, but may vary depending on conditions and travel periods. For high/peak seasons, the deposit may increase to 50%, especially for gorilla and chimpanzee permits and accommodation. The balance is due before the safari starts. Please note that full payment is required for bookings made within a few weeks of departure.

INSURANCE

It is essential that you arrange for appropriate personal travel insurance. Individuals with health conditions such as heart disease, chronic illness, physical disabilities, advanced pregnancy, or mental health issues should not participate in demanding travel programs. The insurance should cover death, injury, theft of personal property, and medical expenses. Activities with higher risks, such as White water rafting and Mountaineering, should also be covered.

BAGGAGE

All personal belongings and baggage are carried at your own risk.

NATIONAL PARKS

We strongly discourage the collection of any specimens from the natural environment. Our safaris are designed to offer opportunities for observing and photographing wildlife, not disturbing it.

TAKING PHOTOGRAPHS ON TOUR

We reserve the right to take photographs of tour participants for promotional purposes. If any participant does not wish to have their photo used, they should inform the tour guide at the beginning of the tour.

WHAT IS INCLUDED IN OUR SAFARI PRICES

PLEASE NOTE: Any activities requested by the client that are not part of the initial itinerary will incur additional charges.

Our safari prices include the cost of gorilla permits at $800 each, chimpanzee tracking permits at $250 each, all accommodation, ground transportation in private 4×4 safari vehicles, a full-time experienced safari guide (English-speaking), all meals (except where B&B is specified), water and snacks in the vehicle, entrance fees for national parks, ranger guide fees, chimpanzee tracking, boat/canoe rides, and all applicable taxes. Exclusions include international flights, personal expenses (e.g., drinks, laundry, souvenirs), visa fees, porters for gorilla treks, travel/medical insurance, tips for guides, drivers, and hotel staff, and any extras not mentioned in the itinerary. Our safari packages are all-inclusive (full board).

The company reserves the right to alter the safari services in the event of unforeseen conditions, such as bad weather, road closures, or security issues. In such cases, alternative arrangements will be made as necessary.

WHEN YOU CANCEL

If you need to cancel your safari, please notify us in writing. Cancellations are only effective once we receive your written notice. Cancellation fees will apply based on the timing of your cancellation, as outlined below:

*Cancellation charges (as a percentage of the total tour price paid):

– 60 days or more before arrival: 25% charge – 59 to 32 days before arrival: 50% charge – 31 to 8 days before arrival: 75% charge – 7 days to the date of arrival: 100% charge

If you decide to terminate your safari once it has started and you do not allow us time to address your concerns, no refund will be issued.

WHEN WE CANCEL

Although we try to avoid cancellations, we reserve the right to do so if necessary. We will not cancel your confirmed safari less than 60 days before departure unless unusual and unforeseeable conditions beyond our control make it unavoidable. If we cancel your holiday (except for non-payment or force majeure), we will offer you the option of an alternative holiday of similar standard or a full refund of payments made (excluding gorilla permits, which are refundable only if the relevant authorities provide a refund). We cannot cover any other expenses or losses incurred due to cancellations.

Cancellation fees are based on the date we receive your written cancellation notice.

VOLUNTARY EXECUTION

By paying a deposit to Kigezi Harambe Tours and Travels, I declare that I have read and understood the Terms and Conditions, particularly the cancellation and refund policies, participant responsibilities, and liability limitations. The deposit signifies agreement to these terms for myself, my family, and my beneficiaries.

Note: If you are dissatisfied with the vehicle or guide during your safari, please allow us 24 hours to address the issue. We appreciate you choosing Kigezi Harambe Tours and Travels for your safari, and we look forward to meeting you.
